Who we are
Women-Space respects your privacy and only uses your personal data in the ways described here. This policy explains what we collect, why, and the rights you have under UK data protection law (the UK GDPR and the Data Protection Act 2018).

What we collect
We collect only the information we need to provide our services and keep in touch with you.
Contact details: your name, email address and, if you give it, your job title, university or organisation.
Webinar registrations: the details you enter on our Zoom registration form, and your attendance, display name and any questions or chat messages during a session.
Newsletter sign-ups: your name, email address and your marketing preference.
Coaching and programme clients: information you share with us to arrange and deliver coaching, workshops or programmes, including notes about your career goals and challenges.
Enquiries: anything you tell us when you email or contact us.
Website use: basic technical information such as your IP address, browser type and pages visited, collected through cookies (see Cookies below).
Most of this comes directly from you. We do not ask for sensitive information (such as health or ethnicity). If you choose to share it during coaching, we treat it in strict confidence and use it only to support you.
How we use it and why
UK law requires us to have a lawful basis for each use of your data. Ours are set out below.
Webinars: we use your details to register you, send joining details and reminders, and follow up afterwards. We do this because it is in our legitimate interests to run the event you have asked to join.
Newsletter: we send you our newsletter and news of events only with your consent, which you can withdraw at any time.
Coaching, workshops and programmes: we use your details to arrange and deliver the service you have booked, as part of our contract with you.
Enquiries: we use your details to reply to you, because it is in our legitimate interests to answer your questions.
Business records: we keep financial and business records because the law requires us to.
Improving our services: we may use general information about how our website and services are used to improve them, because it is in our legitimate interests to do so.
We will not use your data for any other purpose without telling you first. We do not sell your data, and we do not use it for automated decision-making or profiling.
Webinars and recordings
Our webinars may be recorded, and we will always tell you at the start of a session before recording begins.
Recordings may be shared with people who registered and/or published on Women-Space channels, such as our website or social media.
Recordings may capture your display name, voice and video if you turn them on, and messages in the public chat or Q&A.
If you would prefer not to appear, keep your camera off, stay on mute, and change your display name when you join. You can also send questions privately to the host.
If you appear in a recording and later want to be removed or blurred, email us and we will do what we reasonably can.
Your registration details are used only for that webinar. We will add you to our newsletter only if you separately opt in.
Who we share it with
We never sell or rent your data. We share it only with trusted service providers who help us run Women-Space, and only as far as they need it.
Squarespace, which hosts our website and website forms.
Squarespace Email Campaigns, which sends our newsletter.
Zoom, which runs our webinars and online sessions, including registration.
Google Workspace, which handles our email.
Stripe, which takes payments for paid services.
We may also share data if the law requires it, for example with HMRC or the police.
Some of these providers are based in, or store data in, the United States. Where your data leaves the UK, we rely on the safeguards UK law allows, such as the UK–US Data Bridge or approved contract terms (the International Data Transfer Agreement or the UK Addendum to standard contractual clauses).
How long we keep it
We keep your data only as long as we need it.
Webinar registrations are kept for up to 12 months after the webinar.
Webinar recordings are kept for as long as they remain published or useful, and we review them every year.
Newsletter subscriptions are kept until you unsubscribe.
Coaching and client records are kept for 6 years after our work together ends, for legal and tax purposes.
General enquiries are kept for up to 2 years after our last contact.
Keeping it secure
We use reputable providers with strong security, protect our accounts with secure passwords and two-step verification, and limit access to people who need it. Coaching notes are kept confidential.
Cookies
Our website is hosted by Squarespace, which uses cookies to make the site work and to show us how it is used. Essential cookies are always on. You can accept or decline analytics cookies through the cookie banner, and you can block cookies in your browser settings. Squarespace explains its cookies in its own cookie policy.
Your rights
You have the right to:
ask for a copy of the personal data we hold about you
ask us to correct anything that is wrong or incomplete
ask us to delete your data
ask us to limit how we use your data, or object to us using it
ask us to transfer your data to another organisation
withdraw your consent at any time, for example by unsubscribing from our newsletter
To use any of these rights, email christina@women-space.co.uk or rebecca@women-space.co.uk. There is no charge, and we will reply within one month.
Complaints
If you are unhappy with how we have handled your data, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK data protection regulator, at ico.org.uk or on 0303 123 1113.
